Position Overview

Ultimate Staffing is actively seeking a detail-oriented Executive Assistant to support an executive team in California. The ideal candidate will excel in managing multiple priorities and thrive in a fast-paced environment.

Responsibilities

  • Providing administrative support to senior executives, including managing calendars, scheduling meetings, and preparing materials for appointments.
  • Coordinating travel arrangements, accommodations, and itineraries for business trips.
  • Handling correspondence and communication on behalf of executives, ensuring timely responses and maintaining confidentiality.
  • Organizing and maintaining files, records, and documentation, ensuring accessibility and accuracy.
  • Assisting in the preparation of reports, presentations, and other business documents.
  • Facilitating communication between executives and internal/external stakeholders.
  • Managing office supplies and coordinating office maintenance requests as needed.
  • Handling special projects and tasks as assigned by executives, ensuring completion within deadlines.

Qualifications

  • High school diploma is required.
  • Previous experience in an administrative or executive support role is preferred.
  • Strong organizational skills with the ability to manage multiple priorities and tasks efficiently.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Attention to detail and accuracy in all tasks.
  • Proactive and self-motivated with a strong work ethic.

The position offers a competitive salary range from $27 to $35 per hour, commensurate with experience.
